There was one amendment to the previous meeting notes and none to the agenda.
Position Priority Template and Rubric
The committee reviewed the final draft of the Position Priority Template and Rubric. A change was made to both documents that was noted and uploaded to the agenda regarding one of the categories. Originally one category was changed to the Master Plan but after some discussion, it was replaced with Institutional Metrics since the Master Plan encompassed too much information. The change is reflected in question 7 in the template and column 7 in the rubric.
Yi-Baker asked if the rubric was similar to the one in IPBT and commented that the word “innovation” in the last column of the rubric and in question 9 on the template could be subjective. Also, maybe a column should be added to show the urgency of the position and to reflect the current climate.
- Mieso responded that SSPBT has a different process and criteria than IPBT since they are instruction and classroom based and our criteria involves serving students.
- Mieso acknowledged that the word “innovation” can be subjective but in the template the manager has space to explain what this is and its effectiveness.
- Mieso also noted that question 10 in the template gives managers an option to add relevant information that may have not been covered in previous questions regarding the position and this would include any urgent hires that may need to take place.
- Mieso thanked the working group Balducci, LeBleu-Burns, Galoyan, Yi-Baker, and Kirkpatrick
for working on these documents for SSPBT.
Mieso summarized for the committee that the state has given De Anza funding to hire 13 new faculty positions with 8 positions going to Instruction and 5 to Student Services. Once the positions have been determined, they will go to College Council for final approval and then hiring can begin.
Mieso asked the committee to vote on the two documents presented, the Position Priority Template and Rubric. The committee then voted and approved the two documents as presented.
In the next meeting on January 20th, each manager will do a short presentation for their positions with time afterwards to answer any questions from the committee. The committee will then use the rubric to review the positions presented by each manager and submit the completed forms before the next meeting on February 3rd. The committee will then review and discuss the results and vote on the positions. These recommendations will then be placed on the College Council Agenda.
Mieso noted that the hiring needs in Student Services is much greater than the 5 positions we were given due to the last round of budget reductions and retirements that resulted in a loss of about 10 faculty positions.
- LeBleu-Burns commented that the retired SRP positions should remain in Student Services when they become available again. In some areas such as General Counseling, it is making it difficult to operate and provide the services that are in demand. The positions can be flexible and hired in areas based on need but they need to stay within Student Services. She would be willing to sign a statement regarding this because keeping these positions in Student Services is critical.
- Yi-Baker asked where she could review the faculty positions that were lost and Mieso
responded that all the budget reduction information is located on the SSPBT Budget page.
CAS/Program Review Plan
Michele updated the committee on the progress of CAS and the upcoming program review timeline. The coaches have been meeting and working with the teams to facilitate completion this year. Campus wide, the Program Review timeline may be changing. The Comprehensive Program Review may be pushed to 2022-23 versus this year as planned. Student Services has started and is scheduled to complete their Comprehensive Program Reviews by spring quarter this year. To keep with the changing timeline, our presentations could be finalized in the fall quarter instead to keep it in the same academic year.
Member and Program Updates
- Yi-Baker reported that Office of College Life saw a lot of new students, around a
hundred or so, the first week of the winter quarter for their ID cards and SmartPass.
- DASG is not meeting this week and 1-2 students have dropped out
- ICC is going strong and are mostly meeting virtually
- Mandy reported that they are continuing to review Emergency Fund Applications and
working with the new Bookstore vendor on book vouchers. Overall, the transfer seems
to be going well.
- Galoyan said that Admissions and Records hasn’t been too busy in person this quarter
but they are very busy online/virtually though.
- Cashiers Office is open for in-person appointments
- The Food Pantry has been very busy during this first week
- LeBleu-Burns reported that they are very busy with reports regarding students having
possible COVID symptoms or have tested positive for the virus. Once a report comes
in, there is a lot of follow-up that needs to be done.
- LeBleu-Burns went through the COVID-19 Reporting Form that can be found on the Return to Campus - > Requirements for Employees page.
- Tran asked if there are COVID updates for students, such as if they have been exposed.
- LeBleu-Burns replied that if a student is exposed in the classroom, etc. they will be contacted. General COVID information is provided but individual information is kept confidential.
- Mieso said that Health Services is also working on having testing available on-campus.
- Yi-Baker asked if all of Student Services will have uniform operations from 9:00 am
to 4:00 pm for winter quarter on campus.
- Mieso responded that yes, moving forward services on-campus will be offered from 9:00 am – 3:00 pm this quarter. Variations and adjustments are taking place due to the COVID-19 variant Omicron for the next couple of weeks but overall, many areas are staying the same.
